Additional information for GP practice managers – December 2023

Please make sure your patients are aware when they have been given online access to their new health record information, and what to do if they have any questions or need support.

You can use these materials and supporting text to help let your patients know. This includes website and social media content and a patient video. Resources are also available to help you promote online access through the NHS App.

We offer free, online Digital Clinical Safety training to NHS staff to help everyone involved in healthcare understand their roles and responsibilities. There are several levels, from beginner to advanced.

The intermediate level module is a CPD-accredited course. It has been updated following user feedback to improve understanding of real-life applications of digital clinical safety.

We now have over 300 NHS App ambassadors in GP practices across England.

The NHS App can save GP practices time and cost, while improving patient care. Having an ambassador to champion the NHS App in your practice means that you always get the latest NHS App updates and can connect with other ambassadors to discover what’s working in their area.

Important guidance on uploading patient contact information into the Spine

We recently identified some patient records in the Spine (Personal Demographics Service) contained incorrect mobile and landline numbers. We have removed the incorrect details from those patient records held in the Spine and all GP practices affected by this have been contacted and informed directly.

We have noticed that some incorrect contact details are being uploaded into the central Spine record from local (cached) GP IT systems.

To ensure the information held in the Spine is accurate, please cascade the following guidance to your practice staff who access patient records:

  • if there is a difference between contact details held in your local GP IT system and the Spine, you must confirm that the information you hold locally is correct before uploading it into the Spine
  • it is better to leave a contact field blank in the Spine if you are not able to confirm the information you hold locally is correct and up-to-date

If there are differences in patient contact information held in your local system and the Spine, a pop-up ‘split screen’ window will appear when you open a patient record in your GP IT system.

SystmOne users should only press the ‘Keep all SystmOne values’ button if they have confirmed the patient contact details contained in the SystmOne patient record are correct. This will upload the information held in SystmOne into the Spine.

EMIS users should only select details from the ‘Local Record’ and press the ‘OK’ button if they have confirmed the contact details contained in the EMIS patient record are correct. This will upload the information held in EMIS into the Spine.

Users can close the pop-up window if they do not want to upload locally-held contact information into the Spine.

NHS online GP registration service rolled out to over 2,000 practices

An NHS pledge to roll out a new online GP registration service to 2,000 GP practices by the end of the year has been achieved ahead of schedule.

The online Register with a GP surgery service, managed by NHS England, has been designed to make the process simpler and more convenient for both patients and GP practices.

The service allows patients to go online at any time of day to find and register with a local GP without having to visit the practice in person.

More than 750,000 patients have already used the service since its launch in 2022, with one in three GP practices now offering the service.

GP practices process 6.8 million registrations a year, with many still using paper forms, often requiring patients to visit surgeries in person to collect and submit paperwork. The online tool has been shown to save GP practice staff admin time.

An ambition of reaching 2,000 GP practices by the end of December 2023 was set in the Delivery plan for recovering access to primary care – a milestone achieved a month earlier than expected, with more than 2,100 surgeries enrolled by the end of November 2023.

Dr Amanda Doyle, National Director of Primary Care and Community Services for NHS England, said: “Online GP registration is one of the many innovative ways the NHS is transforming how practices work to make it as easy as possible for patients to get the care they need.

“At a time when record numbers of patients are coming forward to see their GP, it helps free up the time of busy practice staff so they can spend more time focusing on patients, and less time filling in paperwork”.

Patients do not need ID, an NHS number or proof of address to register with a GP. People registering online can also use translation tools alongside the service, making it more accessible for those whose first language is not English.

Latest figures show two thirds (66%) of patients use the online service to switch GPs, while 23% were visitors or migrants, including international students. Other submissions included patients registering with a GP for the first time (5%), newborns (4%) and ex-military patients (1%).

Almost half (48%) registered outside normal GP surgery opening hours and one in 10 accessed the digital service in another language.

Katie Howard, Practice Manager at Cleevelands Medical Centre in Cheltenham, said: “Our patients have found it very revolutionary, as it’s so user-friendly and they can use it on the go.

“It saves our surgery staff between three to five minutes per patient. When you consider we get 25 registrations a day, that is a significant amount of time we are saving to invest back into the patients”.

Professor Bola Owolabi, NHS England’s Director of Health Inequalities, and a GP in the Midlands, said: “We know health inequalities exist within our communities, which is why we are pleased to see our online Register with a GP surgery service is making such a huge difference, by reducing barriers to registration and widening access to good quality healthcare.

“Patients no longer have to visit a surgery to register as they can access the service any time, including outside working hours, using the internet or the NHS App”.

Health and social care champion Healthwatch England also recognised the benefits the service provides.

Healthwatch Chief Executive Louise Ansari said: “We welcome NHS England’s work to remove registration barriers and recommend that all GP teams sign-up to Register with a GP surgery to make access to general practice as easy as possible for everyone”.

Patients can access the service using individual GP surgery websites, the NHS website’s Find a GP service and the NHS App. They are also encouraged to verify who they are using their NHS login where possible, but this is not essential.

A complementary paper form using the same standardised questions as the digital service is also available to GP surgeries offering the online service, ensuring registration is also accessible to those who may not wish to use the digital tool.

Register with a GP surgery is available to all practices across England and is free to use. Registration is quick and easy, with the service automatically checking patients live in the catchment area for their new GP surgery. It also matches patients to their NHS records, further reducing admin for GP surgeries.

Closure of the COVID Pass service

The NHS COVID Pass service will close on Monday 4 December and be unavailable to patients after this date.

There are no longer any domestic requirements to demonstrate vaccination status, and no countries require proof of COVID-19 vaccination as a condition of entry.

Primary care colleagues may see an increase in the number of people asking about their COVID-19 vaccination information. Most patients can see this information in their GP health record in the NHS App, but we're asking colleagues to please remind patients that the COVID Pass is no longer needed. 

The NHS App continues to provide a simple and secure way for people to access a range of NHS services. Please use  the NHS App toolkit to help promote it to patients.

The NHS App has been redesigned to make it more intuitive and simpler for patients to find and access services.   

Over the next few weeks, patients will be prompted to update their NHS App. They will see an updated home page, simpler structure, and easier-to-understand language within the NHS App.   We’re hoping to start the roll out before Christmas.

Some services have moved within the NHS App, but all the services patients need are still available.

Change to smartcard certificate lengths

From Care Identity Service release v7.10 on 6 December 2023, Care Identity Service smartcard certificate lengths will be increased from the current 2 years to 3 years.

All certificates renewed after this date will last for 3 years. This includes:

  • new smartcards issued by Registration Authorities
  • smartcard certificates renewed by Registration Authorities
  • certificates self-renewed by smartcard holders

This change will be communicated in the Registration Authority newsletter to all RA managers with an email address on their Care Identity Service profile. If you're an RA manager but you do not get the newsletter, check you have a valid email address on your Care Identity Service profile.
